Submittals Log
This page lists the submittals that are logged in the current Project Center project. Select the subject of a submittal to view its details.
To only see submittal actions assigned to you, select the My Submittal Actions log. To only see submittals which you are expecting or are expected from you, select the My Expected Submittals log.
Submittals categories
Use the Submittals drop-down list to filter the list of submittals by category. The categories are as follows:
All
Displays all the submittals for this project.
Pending Incoming
Displays all submittals sent via Info Exchange that need to be received. When a submittal or submittal response is logged by a project team member on Info Exchange, it will show up in this category.
Draft
Displays all submittals that have logged as a draft and have not been sent.
Under Review
Displays submittals that have been received, but responses have not been sent to the submittal senders.
When a non-expected submittal is first filed, it is placed in the Under Review category.
Awaiting Action
Displays submittals that have been received, but they:
● Have not been forwarded for review, or
● Have been forwarded for review, but a response has not been sent to the sender, or
● Have been forwarded for review and all responses have been received, but there has been no response sent to the submittal sender.
Forwarded for Review
Displays submittals that have been forwarded with a due date for another contact to review that have not been received back yet.
Response Overdue
Displays submittals that have been forwarded but the responses back from the reviewers are overdue.
Overdue
Displays submittals that have not had a response sent to the submittal sender by the due date (the due date was filled in when the submittal was entered).
Expected
Displays all submittals filed as expected.
Expected Resubmission
Displays expected submittals that were created for submittals that require the sender to resubmit the submittal (the action taken on the submittal was Rejected or Revise and Resubmit).
Late
Displays expected submittals that are late.
All Closed
Displays submittals that have had a response sent to the submittal sender and have been closed.
No Action Taken
Displays the submittals that had a response sent to the submittal sender, and the action selected was No Action Taken.
Approved
Displays the submittals that had a response sent to the submittal sender, and the action selected was Approved or Approved as Noted.
Rejected
Displays the submittals that had a response sent to the submittal sender, and the action selected was Rejected or Revise and Resubmit.
Columns
Overdue
The icon displays to the left of submittals that are overdue. The icon displays to the left of submittals that are due in 8 days or less.
ID
The ID number of the submittal.
Sender ID
The number the contractor gave to the submittal.
Subject
The subject of the submittal. Select to open the Submittal page to view its details.
Status
The current status of the submittal.
Total Days
The number of days to process the submittal. The count starts from the start date, which is either when the item was created or the received date, and ends either with the current date or when it was closed if a closed date was entered. If it is re-opened, it displays the count from when the submittal was created. The total days count is based on calendar days (not business days) and does not consider holidays in its calculations.
Received
The date the recipient received the submittal. The field also displays the submittal purpose and who sent the submittal.
Forwarded
The date the submittal was forwarded. The field also displays the purpose for which the submittal was forwarded.
Response
If a submittal has been forwarded to you, select Respond to open the Send Submittal Response page. If a response has already been logged, then the date of the submittal response, the action taken for the submittal and the name of the user who sent the response are displayed.
Closed
The date the submittal was closed. The field also displays the action taken for the submittal and the name of the user who closed the submittal.
Supporting Documents
Displays the number of supporting documents associated with the item. Internal users can access all supporting documents. External users can only access supporting documents that have been shared with external users.
There are two possible icons that may appear in the field:
Select to view the list of files attached as supporting documents. Select the link for a file to view it in the Newforma Web Viewer. If the filename is not a hyperlink, select the icon to open or save the file locally.
Upload Supporting Documents
Use this area to add supporting documents to the item.
This option is only available for internal (Project Center) users.
Add Files
Select to open the Choose File to Upload dialog box and select a file.
You can select multiple files using standard Windows Shift and Ctrl selection techniques.
Remove All Files
Select to remove all files selected for upload.
Drag-and-Drop Files Here
Drag and drop files directly from Windows to add them to the list of files to upload.
This option is only available if your browser supports the functionality.
Upload
Select to upload the files to the Supporting Documents field.
Select the image to send a request to the owner to repost the files. This occurs when the transfer item has expired.
Related Items
Displays icons for any project items related to the selected item. Click in the column to access the Related Items popup window, shown below. Select the hyperlink for a related item to view its details.
Tasks
The Tasks drop-down list displays available tasks that can be performed for the submittal. Select a task from the list as needed.
Log Page Tools
The following tools are available in the Submittals log toolbar. For more information, refer to Log Page Tools.
Send Submittal
Select to open the Send Submittal page to send a new submittal to other project team members via Info Exchange.
Export
Select to export the items in this log.
Show/Hide Column Filters
Select to toggle on/off the column filters.
Show/Hide Group By Panel
Select to toggle on/off the group by panel.
Show/Hide Columns
Select to access Drag to Change Columns to add or remove columns from the log grid.
