Potential Change Order Page
This page shows the details of the potential change order you selected from the Potential Change Orders log. External and internal (Project Center) users see the same information unless otherwise noted.
Fields - External Users
Pricing items refer to line items entered on the Pricing tab of potential change orders in Project Center. External users see the following fields on the Potential Change Order page:
Subject
The subject of the potential change order.
Item Description
The description of the pricing item.
Contract
The contract the pricing item is related to.
Pricing Requested
The date pricing was requested.
Pricing Due
The due date requested for the pricing item.
Pricing Received
The date the pricing was received from a subcontractor.
Item Number
Automatically generated ID number of the pricing item.
Requested By
The team member who requested the pricing item. Click the link to open the Contact Information dialog box.
Proposed Amount
The pricing amount proposed by the subcontractor.
Proposed Days
The number of days proposed by the subcontractor to complete the pricing item.
Approved Amount
The pricing amount approved by the general contractor. The resulting change order will be based on this amount.
Approved Days
The number of days approved to be added to the contract.
Fields - Project Center Users
Pricing items refer to line items entered on the Pricing tab of potential change orders in Project Center. Project Center (internal) users see the following fields on the Potential Change Order page:
Subject
The subject of the potential change order.
Due Date
The date the potential change order is due.
Status
The status of the potential change order. The available statuses are:
● Draft - The default value when the potential change order is logged.
● Pricing Requested - The open status, when pricing is needed.
● Pricing Completed - Indicates the pricing has been received from the subcontractors.
● Closed - Indicates change orders have been issued; changes potential change order to read-only.
● Void - Indicates the potential change order was cancelled.
Type
The category (Cost or Budget) assigned to the potential change order.
Estimated Amount
The estimated dollar amount for the potential change order.
Proposed Amount
The proposed dollar amount for the potential change order.
Approved Amount
The approved dollar amount for the potential change order.
Forecast Amount
The forecast total dollar amount for all current pricing items associated with the potential change order.
ID
The ID number for the potential change order.
Actual Completion
The actual complete date of the potential change order.
Reasons
The reasons for the creation of the potential change order.
Pricing tab
This tab displays the details for all pricing items associated with the potential change order.
This tab is only available to Project Center users.
Item Number
Automatically generated ID number of the pricing item.
Item Description
The description of the pricing item.
Contract
The contract the pricing item is related to. Click the link to view the Contract page.
Contact
The contact associated with the pricing item. This contact is responsible for responding to the pricing item.
Cost Code
Project cost code associated with the pricing item. Click the link to view the Cost Code page.
Pricing Requested
The date pricing was requested.
Pricing Due
The due date requested for the pricing item.
Pricing Received
The date the pricing was received from a subcontractor.
Estimated Amount
The estimated cost of the pricing item.
Proposed Amount
The pricing amount proposed by the subcontractor.
Approved Amount
The pricing amount approved by the general contractor. The resulting change order will be based on this amount.
Proposed Days
The number of days proposed by the subcontractor to complete the pricing item.
Approved Days
The number of days approved to be added to the contract.
Change Order
The change order number associated with the potential change order.
Description tab
Displays any detailed information entered about the potential change order.
Contract Documents tab
Displays any record documents linked to the potential change order.
This tab is only available to Project Center users.
Number
The record document number.
Type
The type of record document.
Title
The title of the record document.
Revision
The revision number of the record document.
File
The file associated with the record document. Click on the link for a file to view it in the Newforma Web Viewer. If the filename is not a hyperlink, click the icon to open or save the file locally.
Revision Date
The creation date of the last record document revision.
Revision Description
The description of the last record document revision.
Email Log tab
This tab lists all email messages associated with the potential change order.
This tab is only available to Project Center users.
Importance
The icon indicates the email message is marked as important.
Attachments
The icon indicates the email message contains an attachment.
Subject
The original subject line of the email. Click the subject of an email message to view it in the Email Preview page.
Message
Displays the first part of the email message.
From
Displays the original sender of the email.
To
Displays the recipient list for the email.
Date
Displays the original send date for the email.
Size
Displays the file size of the email.
Preview Email Messages
Mark this checkbox to display a portion of the email messages below their subjects.
Supporting Documents tab
Displays the supporting documents for the pricing item that are available to you. Click on the link for a file to view it in the Newforma Web Viewer. If the filename is not a hyperlink, click the icon to open or save the file locally.
Internal users can access all of the supporting documents.
Name
The name of the file.
Type
The file type.
Upload Supporting Documents
Use this area to add supporting documents to the potential change order.
This option is only available for internal (Project Center) users.
Add Files
Click to open the Choose File to Upload dialog box and select a file.
You can select multiple files using standard Windows Shift and Ctrl selection techniques.
Remove All Files
Click to remove all files selected for upload.
Drag-and-Drop Files Here
Drag and drop files directly from Windows to add them to the list of files to upload.
This option is only available if your browser supports the functionality.
Upload
Click to upload the files to the Supporting Documents tab.
Related Items tab
This tab lists all Project Center items that are related (linked) to the item. Select the subject of an item to open it in its page.
Subject
The subject of the related project item. The icon for the related item type appears to the left of the Subject.
ID
The ID for the related project item.
Type
The type of the Project Center project item.
Workflow
The status of the item related to the current item.
Team Members
Team members associated with the related item.
Date
The date the related item was created.
Keywords
Displays any project keywords associated with the item.
Change Log tab
This tab displays a history of the actions taken on the selected potential change order, including when it was created, modified, who was involved, and any details.
This tab is only available to Project Center users.
Date
Date the change occurred.
Event Type
Type of change that occurred.
By
Project team member who created the change.
Detail
The specific field or item that was changed by the event.
In addition to the listed fields, custom fields may also be exist. Project Center administrators can create custom fields throughout Info Exchange.
Page Tools
The following tools are available in the Potential Change Order page toolbar.
Potential Change Orders
Click to return to the Potential Change Orders log.
Send Response
Click to send a response to the pricing item.
To access this page
Click the Item Number (external users) or Subject (Project Center users) of a potential change order in the Potential Change Orders log.
