Generate Letter dialog box
Use this dialog box to generate a form letter containing information about a PCO and then send off to your contacts.
Form letters are created in the Add Form Letter dialog box.
Filter All Columns
You can filter by any text that appears in any of the columns in the log. For example, if you know the subject (or part of the subject) of the potential change order that you are searching for (or the ID, status, due date, etc.), enter at least part of the text in this field. The potential change orders list updates automatically as you type. For example, if the potential change order you are searching for has the number 30 somewhere in one of the columns, enter 30 in this field. The list will be narrowed down to only potential change orders that have the number 30 somewhere in one of the columns.
Click to toggle between showing and hiding the column filter fields.
Clear
Click to clear all filters.
Pricing Items
The individual PCO pricing items are listed in this field. Mark the checkboxes of the items you want to include in the letter. Refer to the Create Potential Change Order dialog box for a description of the columns.
Output
Set the form letter's output parameters.
Form Template
Select the form template to use as the basis for the PCO letter and the file that is created when the PCO letter is saved.
Format
Select the type of output to create - a Microsoft Word document or a PDF document.
Output Filename
Enter a name for the file that will be created based on the output type selected.
Save in
Click the button to locate and select the folder in which to save a copy of the file in the format you selected above.
Preview
Click to open a preview of the form letter.
Next Action
Mark the checkbox to email the letter to your contacts. After you click OK, the Send Options dialog box will open enabling you to choose how to send the letter.
OK
Click to generate the form letter and save it. The next action taken depends on whether the Next Action option was selected.
To access this dialog box
Select a PCO and click Generate Letter from the Tasks panel of the Potential Change Orders activity center.
