Publish Sheets to PDF dialog box

Use this dialog box to publish Autodesk Revit sheets to PDF via Newforma Project Information Link. You can select multiple sheets to publish at the same time, either as individual sheets or combined as a single PDF. In addition, you can sort the sheets to control the sheet publication order.

You can publish sheets to PDF without connecting Newforma Project Information Link.

Select the Sheets to Publish

This section lists the sheets from the current Revit project. Mark the checkboxes of the sheets you want to publish.

Sheet Number

The Revit sheet number.

Sheet Name

The name of the sheet in Revit.

Sheet Sets

A list of the Revit sheet sets that the sheet is included in.

File Name

The filename that will be given to the generated PDF for the sheet. You can modify the filename format in the Publish Settings dialog box.

You can customize the columns that are displayed. Right click on any column header to view the list of available parameters, then select or deselect parameters as needed. All selected parameters appear as columns in the grid.

PDF Settings

This section lists the primary publish settings for the PDFs to be generated.

PDF Driver

The PDF driver that will be used to generate the PDFs.

Setup Name

The Revit page setup that will be used to generate the PDFs. Select another setup from the drop-down list if needed.

Store PDFs in

The location in which the generated PDFs will be stored. Click to view the location in Windows Explorer.

PDF Quality

Sets the quality of the PDF output. Screen produces the smallest file in the fastest time. Prepress produces the largest file and takes the longest.

Hyperlink Sheet Numbers (Not Needed if Printing)

Creates hyperlinks for sheet numbers that appear in the PDF, allowing users to click on the number to open another sheet. Does not need to be selected if PDFs are only being generated to print to paper.

Subfolder

The subfolder that will be created in the main PDF storage location for the current publish.

Combine Selected Sheets into One PDF

Select this checkbox to generate a single PDF file that contains all the selected sheets. The sheets are added to the PDF based on the current sort order in the Select the Sheets to Publish section of the dialog box.

The sheet numbers appear as bookmarks when viewing the combined PDF.

Open in Windows Explorer after Publish

Opens the directory in which the newly published PDFs are stored after publishing is complete.

Publish Settings

Click to open the Publish Settings dialog box to modify the PDF publishing settings.

Add Revit Parameters

Click to open the Revit Parameters dialog box to select additional parameters to add to the Select the Sheets to Publish section of the dialog box for sorting purposes.

Publish

Click to publish the selected sheets to PDF.

 

Sorting Sheets for Publication

Setting the correct sheet order before publishing PDFs is an important component to making the resulting files as easy to use as possible. This is especially true if you are combining all selected sheets into a single PDF, since the order of the sheets in the PDF is determined by the sort order in the Select the Sheets to Publish section of the dialog box.

Sorting considerations:

        Many companies create a custom Sheet Order parameter in Revit for the purpose of organizing sheet lists. If your project already includes this parameter, make it available for sorting by clicking the Add Revit Parameters button and selecting it in the Revit Parameters dialog box.

        Select any other parameters you want to use for secondary and tertiary sorts in the Revit Parameters dialog box.

        You can drag and drop the column headers in the Select the Sheets to Publish section of the dialog box to organize your sort parameters for easier viewing.

        To use the multi-level sort, click on the column header for the tertiary sort parameter first; then click the column header for the secondary sort parameter, and finally the primary sort parameter. Three different size sort arrows appear in the column headers indicating the sort direction and order.

Sorting example

You use three parameters to sort your Revit sheets:

        Sheet Order (primary sort)

        Discipline (secondary sort)

        Sheet Number (tertiary sort)

Perform the following steps to sort the sheets using the above parameters.

1.     Click Revit Parameters in the Publish Sheets to PDF dialog box and select all three sort parameters to add to the grid.

2.     Click and drag the column headers for the sort parameters to the left of the grid for easier viewing.

3.     Click on the column header for Sheet Number to set it as the tertiary sort. Click again as needed to set the sort order as ascending or descending.

4.     Click on the column header for Discipline to set it as the secondary sort.

5.     Click on the column header for Sheet Order to set it as the primary sort.

To access this dialog box

Click Document Control > Publish Sheets to PDF from Newforma Project Information Link.
