Field Notes Activity Center
Use this activity center to log, review, and track field notes electronically.
Field Notes● Create Field Note Click to open the Create Field Note dialog box to log a field note. ● Create a Report Click to open the Create a Report dialog box to select the type of field notes report to create. ● Import Spreadsheet Click to open the Select Spreadsheet dialog box to select a Microsoft Excel spreadsheet containing field note data that you can import. The imported field notes are placed in the appropriate field note log based on the type imported. ● Export Spreadsheet Click to open the Save Spreadsheet dialog box to select the Microsoft Excel spreadsheet to export the project's field notes to. Selected Field Note● Modify Click to open the Modify a Field Note dialog box to edit the details of the selected field note. ● Create Similar Field Note Click to open the Create Field Note dialog box to open a new field note containing the same information as the one you selected from the log. You can then edit the information in the same way you would log a field note. ● Create > Item Click to create a new item of the type selected (such as a site visit) and automatically relate it to the selected field note. When you create a relationship between the item and the field note, each item's icon is added to the other item's Related Items column and tab. ● View Form Click to open the Field Note form to view and print the selected field note's details. ● Send Email About Field Note to All Participants Click to open a new email message in Microsoft Outlook containing information about the selected field note. When you enter information and send the message to contacts included in the field note, you can select whether to send and file the field note to the selected field note's Email Log. ● Delete 1 You must be a Project Center administrator and have a Professional User role to delete field notes. Click to delete the field note from Project Center. The file tasks apply to files in the Supporting Documents tab. See File Tasks panel. See Email Tasks panel. |
Field NotesCategory drop-down listThe category drop-down list contains filters to display field notes by category. For example, if you want to view today's field notes, select Today's Field Notes from the list. Only field notes entered today will appear in the log. You can also choose to display field notes for all project users or only field notes on which you are listed as the sender or recipient. Each category is explained below. Click to toggle between showing field notes for all users or only field notes you are involved with. All Field NotesClick to display all field notes that have been entered for this project. Today's Field NotesClick to display only today's field notes. This Week's Field NotesSelect to display only field notes started during the current week, from Sunday - Saturday (not the last seven days - unless it's Saturday. This Month's Field NotesSelect to display only field notes started in the current month (not the last 30 or 31 days). Filter All ColumnsYou can filter by any text that appears in any of the field note columns. For example, if you know the subject (or part of the subject) of the field note you are searching for (or the ID, author, etc.), enter at least part of the text in this field. The list updates automatically as you type. For example, if the field note you are searching for has the number 30 somewhere in one of the columns, enter 30 in this field. The list will be narrowed down to only field notes that have the number 30 somewhere in one of the columns. Click to toggle between showing and hiding the column filter fields. ClearClick to clear all filters. Group byClick to group by the any of the columns. For example, if you want to group the list of items by date, select Created from the drop-down list. The items will be grouped into separate sections alphabetically by date. See Column Sorting, Filtering, and Grouping for more information.
Field Notes logThe field note log displays the field notes for the category selected above. Select a field note for a list of tasks you can perform, which appear in the Tasks panel. Double-click a field note to open the Modify a Field Note dialog box to view and edit the field note's information and settings.
ColumnsColumn headers are different for each field note category. The following list includes all column headers for all field note categories. Some categories may not include all columns, and they may not be in the order listed here. If you move and resize columns, they are saved in that position for each category. Column settings are reflected in field note reports. Right-click on any column header to list and de-list columns. Click the icons for more filtering options. IDThe ID number of the field note. CreatedThe date the field note was created. AuthorThe author of the field note. SubjectThe subject of the field note. SpaceThe name of the space the field note applies to. KeywordsAny keywords applied to the field note. Related ItemsIf the field note has any related items, the icons appear here. Related Project ItemsThis column is a text version of the icons in the Related Items column. The text will appear in reports. Supporting DocumentsAny files attached to the field note. Download to Mobile Devices● Yes indicates that the field note will be downloaded to mobile devices during the next sync. ● No indicates that the field note will not be downloaded to mobile devices during the next sync, and will also be removed from mobile devices if it is there. To change the value to No, right-click in the column field and select Change Field Value > Download to Mobile Devices > No. Remarks tab/Email Log tab/Supporting Documents tab/Related Items tab/Change Log tabRefer to the Create Field Note dialog box for a description of these tabs. Related Items tabThe Related Items tab has the following additional options that are not in the Create Field Note dialog box. Create Related > Action ItemClick to open the Identify an Action Item dialog box to create a new action item and link it to the current field note. Create Related > Transfer > Via EmailClick to open the Send Files to Email Recipients dialog box to send project files via email. Nothing is logged in this tab. Create Related > Transfer > Via Info ExchangeClick to open the Transfer Files to a Newforma Info Exchange Server dialog box to transfer project files via your Newforma Info Exchange Server and link the transfer to the current field note. Create Related > Transmittal > Via EmailClick to open the Send Files and Create an Outgoing Transmittal dialog box to send project files via email, file an outgoing transmittal for a file transfer, and link the transfer to the current field note. Create Related > Transmittal > Via Info ExchangeClick to open the Transfer Files and Create an Outgoing Transmittal dialog box to transfer project files via your Newforma Info Exchange Server, create a new outgoing transmittal for the file transfer, and link the transfer to the current field note. Create Related > Contract Management > Contract Management ItemClick to open the Create Contract Management Item dialog box for the type of contract management item you selected to create a new CM item and link it to the current field note. Create Related > Web LinkClick to open the Create Web Link dialog box to enter a web link and automatically relate it to the current field note. After it is created, the Relation Type column will indicate Web Link, and users can double-click on it to open the website. |
